This is a unique opportunity to drive forward the Roux Institute mission and vision through the design and execution of compelling events and experiences. From large multi-institutional symposia and high-profile community and corporate events to smaller research symposiums and meetings that engage the Northeastern community, we use events to engage and inspire stakeholders from across our ecosystem. This position will also have an opportunity to engage with the Northeastern Global Network, driving change across office environments by contributing to the development of new policies, design schemes, and optimizing the campus experience. The role involves not only leading events but also helping shape the physical and operational spaces to better align with the Roux Institute's innovative mission.
The Campus Experience and Events Manager will work in collaboration with other members of the team to coordinate the event services necessary for the successful production of Roux Institute sponsored events as well as Roux Institute hosted events Supporting actions include, but are not limited to; identifying and securing event space; identifying, negotiating with, and hiring service providers (i.e. A/V equipment, linens, lighting); working with caterers and other food and beverage providers to seek bids and develop appropriate menus and service plans; coordinating programming elements; maintaining guest lists; managing event mailings and communications; interfacing with attendees; and tracking information pertaining to each event.
The Campus Experience and Events Manager will also play a pivotal role in enhancing operational effectiveness and the campus experience by optimizing campus resources through projects like hot desking, wayfinding, and furniture design. This role will be expected to collaborate with campus leadership, the Campus Operations Manager, and multiple stakeholders across different projects that elevate the campus experience for students, faculty, staff, and corporate partners.
The Campus Experience and Events Manager must demonstrate the ability to work in a fast-paced environment and possess high levels of customer service and professionalism, particularly in stressful situations. They must be available for evening/weekend hours and able to travel as needed.
MINIMUM QUALIFICATIONS
Knowledge and skills required for this position are typically acquired through Bachelor's degree and at least 4-6 years of event coordination or event management experience. Experience with food and beverage and fine dining service preferred. Experience in fundraising a plus.
Superior guest relations skills.
Strong organizational and communication skills, both verbal and written.
Must be extremely detail-oriented, able to work independently, and prioritize work to meet high quality expectations and deadlines.
Must have demonstrated an ability to multitask and manage multiple projects and work assignments from various levels of university administration and volunteers.
Demonstrated project management and budget management capabilities.
Must demonstrate the ability to work in a fast-paced environment and possess high levels of customer service and professionalism, particularly in stressful situations.
Must be available for evening/weekend hours and able to travel as needed.
Competence with Microsoft Office including Word, Excel, Outlook and PowerPoint
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Event Management 55%
Assists event hosts with the planning and logistics of each assigned special event at the institute. Identifying and securing event space; identifying, negotiating with, and hiring service providers (i.e. A/V equipment, linens lighting);working with caterers and other food and beverage providers to seek bids and develop appropriate menus and service plans;
Campus Experience Management 35%
Lead initiatives to optimize the campus experience, including hot desking, wayfinding solutions, and furniture design. Work closely with the Campus Operations Manager to improve day-to-day campus functionality, covering areas such as parking, front desk operations, and facilities. Collaborate on resource management projects to ensure efficient use of campus spaces and services.
Operations Management 10%
Assist the Campus Operations Manager with misc tasks as assigned by the Director of Operations.
