The Events Specialist provides support for university and development events. They work in partnership with the team to produce engaging, inclusive, and modern events. In addition to supporting team members, the specialist is responsible for coordinating and leading the technical execution of events including using specialized knowledge in technology and design. The Events Specialist will coordinate and provide expert knowledge of the technical aspects of events, including commencement, community-building events and public celebrations. This position will lead the coordination of all virtual livestream event components including working with campus or external vendors as needed. This role will lead the technological aspect of the event registration process and overall front-line guest experience, including maintaining event websites, managing electronic guest list development and RSVPs, pre/post event electronic communication, responding to email inquiries and monitoring registration reporting and statistics. The Events Specialist will have preparatory and day-of event responsibilities, including: developing Run of Show documents, coordinating technology and website updates, creating name badges, and coding attendee information into a database. This position requires specialized experience in event technology, online meetings, and audio/visual production. The Events Specialist will serve as product manager, maintaining various platforms used for events. Working directly with outside vendors, they will research, identify and recommend appropriate event platforms and products that the division should be utilizing. The Events Specialist will lead on-site technical support during events (i.e. running a slide deck or polling platform, coordinating with tech teams, monitoring chat during a virtual event) and troubleshoot creative solutions to issues that may arise. This person will advise and train the team and cross-campus partners on new available technologies, platforms and best practices for virtual and hybrid events to best deliver messaging and meeting efficiency. This includes determining the requirements for each project and working with event managers and Division of Information Technology staff to ensure that the most effective technologies are utilized. This position will consult, recommend, operate and train staff in the use of software licensed by the University. This position also provides broader technical consultation and expertise to the Division of Institutional Advancement. As a member of the team, the specialist will also assist in a variety of event planning tasks for events led by other team members including event registration, communications, logistics, and day of set up and clean up. Some evening and weekend work will be required. This position will report to the Associate Director, Special Events. |
