GIFT PROCESSING ASSISTANT , Office of the Recording Secretary , to provide support on services that ensure the timely processing of gifts to the Institute and provide light administrative support to the director of gift administration and recording secretary. Responsibilities include processing gifts, pledges, and payments and recording all in the gifts database; providing frontline contact and high-quality customer service when responding to constituent requests; responding to and/or delegating Request Tracker tickets; supporting database integrity by making updates or corrections and entering biographical updates; ordering supplies, processing mail, performing website maintenance, coordinating standing mailings, and assisting with bank deposits; preparing gift records, tax receipts, acknowledgment documentation, and tribute letters; helping prepare materials for biannual pledge payment reminders; requesting and prepare giving reports; creating and maintaining file systems; acting as backup to other team members; and other duties as assigned. Will also assist director with calendar management; meeting management, e.g., agendas, catering, A/V, space, etc.; and preparing expense-related forms.
Job Requirements REQUIRED : at least three years of administrative experience, preferably in a fundraising environment and at least one year providing outstanding customer service; demonstrated knowledge of and experience using relational databases, preferably SAP and/or Advance; proficiency with Advance, FileMaker Pro, Microsoft Word and Excel, and Apple products; strong organizational, interpersonal, and communication skills; demonstrated ability to use discretion and maintain confidentiality at all times; attention to detail; and ability to learn tasks quickly and perform accurately. PREFERRED : bachelor's degree; experience with Outlook calendaring software; familiarity with Ellucian CRM Advance gift system or similar fund-raising database; and knowledge of MIT policies, procedures, and operational systems. Must be able to work occasional evenings and weekends during peak processing seasons at calendar year-end (mid-December to mid-January) and fiscal year-end (late June to early July).
Salary range: $26.40-28.85/hour (40 hours)
