Reporting to the Operations Manager, this position supports the facilities and audio visual operations of the School of Nursing (SON) and provides superior customer service to internal and external clients.
Job responsibilities will include:
Providing operational support as part of an Operations team aimed at exceeding client (faculty and staff) expectations through smooth, timely and professional service;
Building & maintaining strong relationships with CUMC Facilities, IT, Telecommunications, and outside vendors;
Performing daily operational activities including: Building maintenance checks, Mail/FedEx pick-up and delivery, laptops, copy machines, conference room A/V set ups, and telecommunications;
Inputting Staples supply orders;
Maintaining inventory supply levels, running product reports, and keeping records of required operations activities as directed;
Reviewing and reconciling school related billing (FedEx, print Services, water service, etc.)
Confirming purchase and work orders by tracking receipt of materials and satisfactory service;
Troubleshooting issues related to the maintenance and delivery of operational services;
Performing light handy work requiring the use of small tools (hammer, screwdriver, drill, etc.) as needed;
Setting performance goals that are aligned with the SON strategic plan initiatives; and
Performing other duties as assigned.
Requires a bachelor's degree or equivalent in education and experience, plus two (2) years of related experience.
The successful incumbent:
Must be energetic, personable, and willing & able to maintain a friendly demeanor at all times.
Must be willing to travel between and work at various site locations to meet operational needs.
Will be computer literate, proficient in Microsoft Office, particularly Excel and Access.
Must be able to handle multiple tasks in a timely fashion and be able to work independently.
Must have strong communication skills, both written and verbal.
Must be able to act with discretion in receiving complex and confidential information.
Will have excellent organizational skills and the ability to work with all levels of faculty and staff.
Must be proficient with A/V equipment.
Will exhibit a high level of attention to detail and the ability to quickly learn new applications and technologies, which are also essential for this role.
The Operations Administrator must be able to stand and/or walk for extended periods of time & be able to easily lift and/or manipulate up to 50 pounds on a regular basis.
Prior experience working in an academic institution or nursing setting in an Operations/Facilities role is strongly desired.
A working knowledge and experience with Columbia University applications is preferred. Experience working in nursing education, operations and/or facilities is a plus.
