SkyDeck is a highly visible, complex, and expanding campus startup accelerator that spans over several units of UC Berkeley and in collaboration with Lawrence Berkeley National Laboratory, QB3, UC San Francisco, the City of Berkeley, the Berkeley Chamber of Commerce and the greater entrepreneurial and venture capital community of the Bay Area, including international innovation institutions. SkyDeck's mission is to increase the UC brand and visibility of new startup ventures within a supportive and community-enriching framework of office and meeting space and programs.
The Administrative Assistant position supports Berkeley SkyDeck's program team in handling and managing daily tasks related to procurement and accounting, administrative support, scheduling and university compliance as well as duties surrounding setting up and organizing the many events and workshops that take place at SkyDeck. Additionally, some light assistance around facility management and maintenance are needed.
Procurement & accounting (Bear Buy)
Process payments, send invoices to vendors, ensure all documentation is accurate and complete and timely.
Submit applications for required alcohol permits, maintain accurate and complete records of all vendors and sponsors.
Ensure proper compliance with all Bearbuy rules and regulations.
Ensure compliance with building policies and regulations.
Notify SkyDeck staff of any issues or problems meeting deadlines.
Administrative support / Scheduling / University Compliance (SkyDeck has a number of ongoing administrative tasks that are needed in order to make the organization run smoothly)
Manage founder inquiries regarding SkyDeck facilities and operations.
Manage vendor visits and questions.
Manage events scheduling for SkyDeck staff and handle necessary paperwork (including database input and management) tied to compliance with university rules and regulations.
Events / Set up, Catering, and Tear down
Coordinating the event logistics for SkyDeck from various points, including possible tours of space from event sponsors, ordering products, equipment, or catering from vendors, enlisting assistance for managing A/V needs, setting up the event space, and organizing clean up efforts.
