Contribute asneeded to the activities of Development and Alumni Relations (DAR) Corporateand Foundation Relations (CFR) team.Providesupport to the various roles within the CFR Team.This requires the ability to prioritizemultiple projects according to deadlines and exercise independentjudgment.
The Departmentof Development and Alumni Relations (DAR) assists Vanderbilt University insecuring the resources, both human and financial, that are required to achieveits mission and goals.The Department isresponsible for the identification, cultivation, solicitation, and stewardshipof individuals and organizations whose charitable objectives are consistentwith those of Vanderbilt University's teaching and research programs.
Duties and responsibilities
Workcollaboratively with the Development team to ensure that projects are completedaccording to deadlines, with accuracy, quality, and integrity; analyze projectoutcomes against established goals, objectives and timelines.
Maintain calendars for Executive Director, Directors and Associate Director of CFR.
Collaboratively work with other school units to schedule meetings, reserve conference rooms, and prepare audio visual equipment for video conference meetings.
Maintainunit listing and assigned DAR and Grants Management contact sheet.
Coordinatecampus-wide training sessions for CFR team, this includes working withcommunication team to advertise workshops, process incoming registrations,notify participants of receipt of registrations, prepare documents forworkshops, order catered items ifneeded, set up and tear down workshop room, archive and store training sessiondata.
Assistin planning of CFR team meetings and retreats.This includes creating budgets when necessary identifying a meetinglocation, ordering items for meal(s) and or activities, processing invoices andreconciling expenses.
Scheduleand prepare materials for CFR meetings.
Maintainrecords of scheduled PTO for assigned CFR team members.
Submittravel authorizations, complete expense reports, and manage subsequentreimbursements for assigned CFR staff.
Reviewand reconcile monthly budget data and monitor spending for team.This includes - researching, resolving andjustifying any discrepancies between budgeted and actual expenses.
Preparequarterly Conflict of Interest Report - monitor corporate receipts above $5,000threshold, participate in discussion with VU legal team concerning findings.
Prepareweekly metric reports for distribution to team.
Preparedaily gift and daily dashboard reports for CFR Executive Director.
Sendrequest for proposals (RFPS) to professors and deans concerning upcomingfunding opportunities on behalf of the Executive Director. Determine professor's intent to apply. Track responses using spreadsheet; determineif further action is necessary.
Coordinateordering of office supplies and equipment for team members.
Orderbusiness cards, note pads, and name badges for assigned team members.
Orderand process payments for campus parking permits.
Ordersupplies for copier and request maintenance of units if needed.
Registerassigned team members for workshops.
Scheduleonboarding interviews. Collaboratively work with HR to arrange travel andlodging needs for applicants; escort candidates to campus appointments ifneeded.
Maintainelectronic filing system.
PeruseChronicle of Higher Education newsletters, disseminate relevant information toCFR team.
Serveas administrative delegate for infoEd SPIN access approvals.
Handle sensitive donor and student information in the strictest confidence, according to departmental and institutional policies.
Work cooperatively with Development and Alumni Relations colleagues.
Maintain strong and effective relationships with Vanderbilt faculty and staff external to DAR.
Perform other duties and responsibilities as assigned.
Profile of an Ideal Candidate
SSHighschool graduate/GED, or the equivalent is necessary
SSBachelor'sdegree is preferred
One year of relevant experience, or the equivalent, is necessary.
Superior verbal and written communication skills are necessary.
*Abilityto exercise good judgment in the handling of confidential information.
*Abilityto use current computer technology, such as Windows, Excel, Word, and Vanderbilt's donor management system.
Experience in development research is preferred.
Knowledge of software programs applicable to development is desirable.
The ideal candidate will be a highly motivated, professional team player with courteous interpersonal skills and an excellent customer service attitude.
Candidate must also have the capacity to perform in an intellectually rigorous and complex academic environment.
The ability to apply sound judgment in all situations is required, as are excellent organizational skills with a meticulous attention to detail.
