The Equipment Coordinator and Access Services Specialist is responsible for efficiently managing and maintaining a media equipment collection of approximately 2000 items, maximizing circulation for the highest return on investment, and ensuring that these state-of-the-art resources are reliably available to the Georgetown community for multimedia production. S/he supports the teaching, learning, and research of Georgetown University faculty, students, and staff by processing materials obtained through Interlibrary Loan (ILL), and supervises the work of 15-20 student employees during regularly scheduled shifts at Library service points. Reporting directly to the Access Services Department Head, the Equipment Coordinator and Access Services Specialist has additional duties that include but are not limited to:
Media Equipment Management
In collaboration with Multimedia Specialists, researches and selects media equipment, software and hardware, and works with the Gelardin New Media Center staff to ensure that faculty, students, and staff receive the appropriate instruction to use equipment effectively.
Compares quotes from media equipment vendors and places equipment orders through University processes.
Manages the testing of equipment on a regular basis to ensure that every item is in good working order or repaired/replaced in a timely manner.
Maintains the equipment section of the department's web pages by creating entries for every item that includes photos, instructional material, and useful information for faculty and student users.
Creates and maintains thorough and accurate records for media equipment.
Provides one-on-one training to faculty, students, and staff on how to effectively use the equipment in the Access Services Department.
Monitors all forms of online communications, including departmental emails, submissions of departmental forms, and listservs appropriate to job tasks.
Troubleshoots, maintains, and resolves hardware and software problems within the Access Services Department as needed, referring issues appropriately.
Communicates regularly with other Library departments, for instance, Library Finance, the Gelardin New Media Center, and Library Information Technology.
Interlibrary Loan (ILL) Support
Processes incoming and outgoing book and article requests via HoyaSearch and Alma.
Processes ILL borrowing requests received from GU students, faculty, and staff through the ILLiad client.
Explains Interlibrary Loan policies and procedures accurately, clearly, and concisely to users.
Processes ILL invoices and payments.
Contacts libraries with delinquent accounts and blocks their account from any further borrowing until money owed is paid.
Circulation/Reserve Desk Services
Trains, assigns tasks, and monitors the work of student employees at the Circulation/Reserve Desk to maintain excellent and quality desk services to users.
Registers new users and updates user records, referring patrons to other Library departments when necessary.
Interprets and applies library policies and appropriately refers unresolved disputes.
Resolves disputes regarding fines, missing materials, and user privileges.
Provides information and basic research assistance to users at the desk, online and over the phone.
Answers questions about library resources and services.
Collects library fee payments using credit card terminal and GOCard register.
Serves on departmental, library and/or university-wide committees and task forces, and participates in local consortia and regional/national associations as required.
Participates in achieving library-wide priorities.
Continually acquires new knowledge and updates skills to enhance professional performance in all areas of responsibility, keeping abreast of developments, trends, and issues in digital media production and libraries.
Monitors trends and maintains currency in emerging issues within areas of expertise.
Regularly contributes to the profession through writing for the publication or active involvement in professional associations at the national or regional level.
Serves as backup to other positions as necessary and undertakes special projects, performing other duties as assigned.
Familiarity with the role of academic libraries meeting the information needs of students, faculty, and staff
Strong attention to detail and excellent interpersonal, written, and verbal communication skills
Exceptional customer service skills and the ability to teach students, faculty and staff
Basic experience using digital media production equipment, excellent troubleshooting and problem solving skills are essential
Experience fixing audiovisual and digital media equipment
Ability to have or develop expertise with all of the equipment offered in the Access Services Department, including video cameras, microphones, lighting, audio recorders, and emerging technologies
Basic experience using video editing and audio editing programs
Intermediate computer skills (such as, an understanding of networking and operating systems, understanding of PC and Mac hardware and software)
Experience with Microsoft Office Suite (spreadsheets working with tables and formulas), and Google drive
Flexibility to adjust to periods of increased workflow and varying responsibilities
Ability to work assignments and schedules varying and including evenings, weekends, and holidays to address cyclical and priority needs of the department
Student employee supervisory experience preferred
