JOB SUMMARY The purpose of this position is to provide assistance and support services to the facility management team to ensure the successful competition of client facility needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES Responds to client inquires and concerns. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.
Events: Support Corporate Services Manager in executing onsite events:
Maintain events calendar to ensure there are no scheduling conflicts.
Manage existing audio visual equipment and procure new when needed.
Coordinate transportation for large events as required.
Coordinate use and tracking of the DB Backdrop used for job fairs and other events
Moves: Support Corporate Services Manager in all aspects of the move, add, change process:
Create floor maps from allocations.
Conduct weekly meetings with business line move coordinators to determine ( how much filing, any special IT equipment, any information barriers, work with HCL to identify resourcing requirements, obtain from's and to's for all desks equipment and furniture)
Ensure legal entity signage is accurate after business line adjustments for each building.
Group Directory updates to seat and building
Conference Room Management: Maintain administrative rights for meeting room manager for the campus.
Responsible for updating all details in meeting room manager when changes occur
Assist with handling conflicts with regards to video conferencing availability when necessary.
Create and post daily conference room signage
Keep whiteboard / wall talker supplies stocked.
General Duties: Serve as liaison to the DB art department, maintain local art inventory in Jacksonville and coordinate scheduling of local art installations.
Process invoices that are site specific vice business line specific.
Maintain holiday decorations, coordinate the packing and unpacking, schedule distribution and removal and maintain holiday decor book.
Maintain site signage including the master signage matrix and printing of new room identification signage as needed
Procure paper and coordinate with Novitex for onsite quantities and distribution
Serve as secondary resource when Novitex cannot identify delivery location for USPS
Support Facilities Management team with Construction projects
Maintain counts per building based on Seating Capacity for DB publications (Forum / 3D)
Manage the process of local magazine publication distribution
Assists with the inspections on the facility campus.
Uses pc and/or PDA for work order system, email, ESS and training.
Assist with process and procedure training.
Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position.

EDUCATION and EXPERIENCE High school diploma or general education degree (GED) required. Minimum of two years of related experience and/or training.

Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. FINANCIAL KNOWLEDGE Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

OTHER SKILLS and ABILITIES Basic skills with Microsoft Office Outlook. Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
