The University of Maryland Baltimore, Office of Student Affairs is seeking an Events Specialist to plan and manage the implementation of multiple high-profile School of Medicine (SOM) related events targeted towards the medical students. These events include but are not restricted to the SOM Annual Graduation, Match Day, Awards Ceremony, Clinicians Ceremony, and AOA Banquet. Planning of these events often require conducting meetings with the Dean and other designated dignitaries.

Develop and implement event concepts and programming, including constructing scripts, holding rehearsals, creating venue setup diagrams, and working directly with local event hosting centers.
Establish contract to secure business for all services related to an assigned event(s) for overall success of event, such as secure venue, plan catering, and coordinating with Audio Visual and stage directors. Negotiate terms and conditions of contracts. Provides professional and administrative duties to support events and troubleshooting issues that arise throughout the event.
Create and maintain a database of perspective vendors as well as potential staff volunteers from other SOM Dean's office divisions and student volunteers who would be available to assist as ushers, greeters, registration personnel, etc. during large multifaceted events such as Graduation and Match Day celebrations. Assess outcomes and make appropriate recommendation.
Work closely with student organizations by offering guidance and assisting in the planning of their events, such as Student Leaders and Town Hall meetings. Assist in planning their events regarding facility logistic aspects of events or meetings, including set-up and tear down, seating arrangements, technical, and atmosphere.
Communicate regularly with the SOM Office of Public Affairs, SOM Office of Development as well as Campus events managers to keep them informed of upcoming events and possibly provide a brief vignette for digital signage, websites or newsletter. Ensure distribution of informational items such as brochures, invitations, direct mail, and advertising to promote the University's facilities and services is timely.
Position will also have shared responsibility with other OSA staff to address general student request and OSA office needs.
Other duties as assigned, such as interacting with local News Media outlets that that may attend designated events.
Education: Bachelors in Communications, Marketing, or Business preferred, other degrees may be considered upon coursework review.
Experience: Three (3) years of experience in event or meeting management, fundraising or development, public or client relations
Other: Equivalent education and experience may be substituted.
KNOWLEDGE, SKILLS AND ABILITIES:
Possess knowledge of event and meeting planning and management. Ability to maintain high standards with the work being performed and maintain awareness with trends and novel approaches to events themes.
Skill in assuming personal responsibility for all outcomes. Skill in making effective and timely decisions. Coordinate and plan Student Leaders and Town Hall meetings.
Ability to maintain productivity.
Ability to conduct simple negotiations and gain agreement from interested parties.
Ability to effectively communicate both verbal and written thoughts, ideas, and facts. Ability to understand written information and is able to listen attentively to verbal and non-verbal cues that lead to a deeper understanding.
Ability to work cooperatively with others and demonstrates professional, ethical, respectful, and courteous behavior when interacting with others.
Ability to interact pleasantly and positively with other to meet customer expectations, and provide follow up with customers.
