AVIXA, the Audiovisual and Integrated Experience Association, is both a Trade Association for the pro- audiovisual industry and a Professional Society Association for the individuals within the industry. This position will work with our Membership Sales team to assist in the prospecting and fulfillment process. The ideal candidate is detail orientated, has excellent written and verbal communication skills and is comfortable juggling multiple priorities and projects.
Major Duties & Responsibilities:
Work with marketing to run regular reports for sales team pipeline
Track contract process and record in the appropriate tracking documents
Create and produce sponsorship proposal documents and collateral materials in support of Membership Account Managers’ sales efforts with show sponsors
Process account manager sponsorship contracts
Create and send sponsorship confirmation letters and invoices
Collect appropriate sponsorship logos from participating sponsors
Provide proactive customer service and follow-up with sponsors to insure accuracy, confirmation of sponsorship details and fulfillment
Create and maintain a sponsor logo management process with Marketing and Communications Department and external general service contractor
Develop and manage sponsorship fulfillment and tracking processes with internal departments
Work with the Marketing and Communications Department to insure inclusion of sponsors’ logos and advertisements within the appropriate websites, HTMLs and other materials
Work with Marketing and Communications Department to request sample items for order fulfillment (i.e. sponsor items such as bags, pens, lanyards, pad folios, etc.)
Produce and maintain weekly sponsorship sales fulfillment status reports
Maintain and review sponsorship receivable aging reports and follow up on accounts receivable with contracted sponsors
On-site tracking and management of sponsorship deliverables, as needed
Produce post-event sponsorship fulfillment reports for sponsors
Research sponsorship prospects and coordinate findings with Membership Account Managers
Other duties as assigned by management

College student, working towards bachelor’s degree
Ideally a candidate would be working towards their business or communication degree
Professional customer service telephone and computer skills are essential
MS Office suite experience preferred
Database management skills preferred
This position requires an energetic and self-motivated individual who is able to work independently as well as part of a team
Successful candidate should be detailed-oriented and able to effectively manage multiple responsibilities in a timely and organized manner.
