We’re looking to add a new member to our team to oversee and execute multiple monthly internal and external events based on details provided by the Event Director. They will manage all aspects of events and programs including project planning, event concepts/logistics, budgets, communications, production, site planning, vendor management, event staffing, run of show programs, event speakers, creative problem-solving, analysis and reporting, and flawless execution day of the event.
The ideal candidate will be passionate in their field, with strong communication and interpersonal skills - someone with drive, determination and a self-disciplined approach to achieving results. We’re also looking for someone who is a problem-solver and can work independently in a multi-tasking environment with numerous deadlines.
Develops, prioritizes, and implements tactical project plans as envisioned by Event Director, including customer promotion programs, press events, trade show activities, and sales meetings.
Responsible for delivery of client/guest experience as detailed by Event Director - bring the plan to life!
Ensures highest quality event deliverable as it relates to public and onsite events, F&B and AV selection and pricing, and instructor support
Pre-, day-of, and post-event logistics coordination
Key Responsibilities Include:
Compiles estimated cost models, submits a final budget, tracks budget statistics, and prepares management reports.
Prepare timelines and ensure adherence - confirming each team member is aware of their duties and delivering their pieces of the plan
Event venue sourcing and negotiation
Plan venue from start to finish, work with management for approval of all aspects of the event. Provide detailed layouts of the venue elements. Develop site-specific operational plans for the event (traffic management & parking, waste management, pedestrian flow, emergency & medical services, etc.).
Create internal BEO’s for each event
Commitment to compliance with all insurance, legal, health and safety obligations.
Source and negotiate best rates for contracts with all outside suppliers and vendors
Customize and plan event menus and catering services, ensuring the highest quality deliverable while being cost conscious
Serves as point of contact team as it relates to the event
Maintain inventory of event equipment, (travel boxes, signage, banners, platforms, computers, other office equipment, etc.).
Post-event, analyze the event’s success and prepare reports
Performs other related duties as assigned by management

Experience with Microsoft Office suite and Google searches
General knowledge of basic audio, video, lighting, projection, and visual equipment through past work experiences.
Intermediate computer experience – comfortable with MS Office programs, internet, etc. We are a Mac-based company so if you’re not already a MAC user you must be comfortable learning how to use it.
Education & Experience
Degree or equivalent experience: Bachelor’s Degree in related program and a minimum of one-year corporate events coordination or a minimum of three years of corporate event planning in an office environment
CMP or CSEP certification is preferred
Some experience with spatial planning software like Social Tables or All Seated.
